How to structure a cover letter with 4 easy paragraphs (with example)

 

When it comes to writing cover letters, less is more. You may be tempted to give your life story. But actually, you only need to include the highlights. And in as few words as possible.

In today’s blog, we’re showing you how to structure your cover letter. And we’ve even included a cover letter example!

 

What’s the right length for a cover letter?

The right length for a cover letter is no longer than one A4 piece of paper. Hiring managers are busy people. So they don’t have the time or desire to read anything long. Less is more. Stick to four paragraphs on one A4 sheet to stand out in the job application process.

 

4 paragraphs for your cover letter

 

1.   Introduction

Your introduction should be no more than 2-3 sentences. It should say three things:

  • Who you are
  • Why you’re writing (to apply for a job)
  • The position you’re applying for (including office location)

 

2.   Your selling points

The second paragraph should dive straight into the juiciest parts of your experience. Talk about the key skills and experiences that make you right for the role. Adding examples, facts,   and figures will strengthen your argument. Just be careful not to echo your CV here! This paragraph should expand on your CV, not duplicate it. 

Here are some examples of facts and figures you can add:

  • How you performed against targets
  • Years of experience
  • Specific types of software you can use
  • Types of projects you’ve worked on
  • Any awards you’ve received (e.g. top sales performer)

 

3.   Why you want the role

If the second paragraph is all about you. The third paragraph should be all about them. This is your moment to show just how much you want to work for the company. Always tailor this to the company. You want the hiring manager to know you haven’t just copied and pasted your cover letter.

 

4.   Close and next steps

The fourth paragraph is where you wrap things up. Thank the hiring manager for their time and re-express your interest in the role.

 

Example cover letter for a sales position

 

“Dear Mr Walker,

My name is Stephanie Grant. I am writing to apply for the position of Senior Sales Consultant in Green Venture’s Manchester branch.

I have 2 years of B2B sales experience in the automotive industry. I have been responsible for winning new clients and negotiating contractual terms. Since joining Atomic, I have expanded our client base into six new cities. In my last year as a Sales Consultant for Atomic Wheels, I exceeded my £225,000 sales target by 15%.

I am now looking for a new challenge with a forward-thinking renewables company. I am passionate about green technology and am excited by Green Venture’s new Clean Air automotive technology. With my experience in client expansion, I believe I can help Green Venture fulfil its mission to grow into new territories.

I would be extremely appreciative of the opportunity to work for your company. Thank you for considering my application, and I look forward to hearing from you at your earliest convenience.

Less is more

When writing your cover letter, remember the principle of less is more. Only pick points that are most relevant to the job. And always write your points in as few words as possible!
